At VLINK, LLC. (the “Company” or “VendorLink”) we respect your right to privacy. We recognize that you have the right to know how information about you is used and shared in our Company and we appreciate that you trust we will do so carefully and responsibly. VendorLink has implemented and maintains the following security procedures and practices, which protect the nature of the information VendorLink collects from its registered members (“Users”) in order to protect each User’s personal information from unauthorized access, disclosure, destruction, use or modification. Certain areas of www.vendorlinksystems.com (the “Site”), including but not limited to the VendorLink vendor registration gateway, vendor information management profile, office administration panel, premium account, Interactive Areas and VendorLink’s mobile application (referred to as “Service” or “Services”) require registration for access. Users are able to create a Site Login (user ID and password) to access certain sections and features on the Site and related Services. In the future, VendorLink may add other features and Services to be accessed through a Site Login. Information obtained from Users of these areas may be used in accordance with the Terms and Conditions for Services and this Policy. Please also see the Terms and Conditions for the Site.

What information does the Site capture about Users?

The Site uses an extended web log file format which captures: date and time of visit, referring address (location from which a visitor comes to Site or related Service), type of Internet browser, DNS name and visitor's IP (Internet Protocol) address. Each computer that connects to the Internet is assigned a unique number, an IP address, for identification purposes. The web log file does not capture a visitor's or User’s email address, or other personal or financial information. When you register for a particular Service, we ask you to provide both personal and business information. We will not collect or use any business or personal information for purposes other than those described in this Policy and in the specific Terms and Conditions for each offered Service, unless we have obtained your prior consent. Each new, additional or upgraded Service that you register for may have a separate information collection policy and its use is governed by the Terms of Use for that Service.

What identifiable information does the Site collect from me?

The Site collects information in several ways. Business and personal information is gathered when you register for our various Services. During registration, VendorLink asks for information such as your name, company, business profile, business address, personal mailing address, mobile phone, business phone, manager’s name, email addresses, title and credit card information. In addition to registration we may ask you for business information at other times, including (but not limited to) when you edit information on your profile, change your profile or Service options, or sign up for a Service; when you make a purchase using the Site; and when you report a problem with our services. If you contact the Company we may keep a record of that correspondence. The Company also occasionally asks users to complete surveys that we use for research purposes.

Data integrity

We review our data collection, storage and processing practices to ensure that we only collect, store and process the business information needed to provide or improve our Services. We take reasonable steps to ensure that the business information we process is accurate, complete and current, but we depend on you to update or correct your business information whenever necessary.

How does the Company use the information?

Please be aware that our Services involve collecting your business and personal information that we provide to our members in many different ways. We also use the information collected through the website to improve the website and our Services. This information is also used to send you email notifications about updates to the website, account notices, system updates, and system notifications. What are cookies and how does VendorLink use them?

As part of offering and providing personalized services, the Company uses cookies to store and sometimes track information about you. A cookie is a small amount of data that is sent to your browser from a web server and stored on your computer's hard drive. All instances within the Site where you are prompted to use your Site Login require that you accept cookies. Generally, we use cookies to remind us of who you are and to access your account information (stored on our computers) in order to deliver to you a better and more personalized service. Cookies can be removed from your hard drive. Also, depending on what type of web browser and what browser version you are using, you may be able to change the properties on your cookie file so that cookies are not used or saved. With whom does the Company share my information?

The User's right to privacy is of paramount importance to VendorLink. Any personal information provided by the User will not be shared with any third party other than Users in our network. If any personal information, such as individual names, phone numbers or email address is shared with an identified User within the VendorLink network, the User will be required by contract or terms of use to implement and maintain reasonable security procedures and practices appropriate to the personal information to protect the information from unauthorized access, disclosure, destruction, use or modification. VendorLink reserves the right to use the information to provide the User value-added services and a more personalized online experience. VendorLink may also disclose your information in special cases when we have reason to believe that disclosing this information is necessary to identify, contact or bring legal action against someone who may be violating VendorLink's Terms and Conditions or may be causing injury to or interference with (either intentionally or unintentionally) VendorLink’s rights or property, other users, or anyone else that could be harmed by such activities. We may disclose or access account information when we believe in good faith that the law requires it and for administrative and other purposes that we deem necessary to maintain, service, and improve our products and services. From time to time, you may be offered the opportunity to receive materials or special offers from third parties. If you opt-in to receive information from these third parties, The Company will (with your permission) share your name and email address with them. Merchants: Please note that there are places on the Site and within our Services where you can transmit credit card information in order to complete a purchase transaction or for verification purposes. Any time we ask for a credit card number we transmit that credit card number in an encrypted format. We use industry standard, SSL (secure socket layer) encryption. Merchants linked to the Site have separate privacy and data collection practices. The Company has no responsibility or liability for these independent policies. Neither the Company nor the Site store or hold onto any credit card information. All credit card information is encrypted during transmission to the Merchant and is not stored in the system or by the Company.

What is the Company's policy on allowing me to update or correct my business or personal information?

You may edit your profile at any time by logging into the Service using your Site Login. After successful login, you are able to update or correct your business or personal information with exception of email address which the Service uses to uniquely identify you and your company.

How does the Company protect my personal and financial-related information?

Keeping your personal and financial information private is extraordinarily important to us. We comply with all applicable financial and information privacy and security laws. Information is encrypted utilizing 256-bit SSL security. Additionally, the Service utilizes strong authentication and authorization controls.

What security provision are in place to protect the loss, misuse, or alteration of my information?

Your personal and business account is password protected. You may edit your profile by logging into the Service using your Site Login. We recommend that you do not divulge your Site Login to anyone. The Company will never ask you for your password in an unsolicited phone call or in an unsolicited email. Also remember to sign out of your account and close your browser window when you have finished your work. This is to ensure that others cannot access your personal or business information and correspondence if you share a computer with someone else or are using a computer in a public place like a library, hotel lobby, coffee shop or internet cafe. The Company and Site has users all over the world. When you give the Company your personal and/or business information, that information may be sent electronically to servers outside of the country where you originally entered the information, such as the United States or other countries. In addition, that information may be used, stored and processed outside of the country where you entered that information. Whenever the Company handles personal and/or business information as described above, regardless of where this occurs, the Company takes steps to ensure that your information is treated securely and in accordance with the relevant Terms and Conditions and this Policy. Unfortunately, no data transmission over the Internet can be guaranteed to be 100% secure. As a result, while we strive to protect your information, the Company cannot ensure or warrant the security of any information you transmit to us or from our registration forms, and online products or services, and you do so at your own risk. Once we receive your transmission, we make our best effort to ensure its security on our systems. We will disclose any breach of security of the system to the party with whom VendorLink has a contract following discovery or notification of the breach in the security of the data. Any disclosures will be made in the most expedient time possible and without unreasonable delay, consistent with the legitimate needs of law enforcement. Notification may be delayed if a law enforcement agency determines that the notification will impede a criminal investigation. The notification will be made after the law enforcement agency determines that it will not compromise the investigation. Notice will be provided by written notice.

What happens to my information after the Service(s) is no longer used?

We will take all reasonable steps to destroy or arrange for the destruction of a User’s record within its custody or control containing personal information which is no longer to be retained by the business by (1) shredding, (2) erasing, or (3) otherwise modifying the personal information in those records to make it unreadable or undecipherable through any means. If the destruction of information may conflict with existing records retention or contractual inspection and audit obligations, we shall inactivate your profile rendering your information inaccessible to users of the Service; provided that the information will be retained solely for the purpose of complying with such obligations.
